Privacy Policy

1. Who we are

1000730249 Ontario Ltd., operating as GoodBid Auctions (“GoodBid”, “we”, “us” or “our”), is an online auction house based in Ontario, Canada. This policy explains how we collect, use, disclose and protect personal information about bidders, buyers, consignors and visitors to goodbidauctions.com (the “website”). It forms part of our Terms and Conditions of Business. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

2. Information we collect

Bidders and buyers

  • Your name, email address, telephone number, and billing and shipping addresses.
  • Payment card details, which are collected and stored by our payment processor. We do not see or store your full card number; we can see only the card brand, the last four digits and the expiry date.
  • Your bids, purchases, invoices, payments and shipping records, and your correspondence with us.

When you register or bid through HiBid, HiBid also collects information under its own privacy policy.

Consignors

  • Your name, company (if any), address, email address and telephone number.
  • Bank account details for paying you, and your HST/GST registration number if you are registered.
  • Information about the property you consign, including provenance, documents and photographs, and your signed agreements and consignment schedules.

People who ask about selling

  • Your name and the contact details you give us, such as your email address or telephone number.
  • Photographs and descriptions of your property, where it is located, your timeline, and how you heard about us.
  • If you message us on WhatsApp, your WhatsApp phone number and profile name, and the messages and photographs you send.

When you message us on WhatsApp, WhatsApp also collects information under its own privacy policy.

Website visitors

  • Your IP address, browser and device information, the pages you visit and how you arrived at our website.

We may ask to see government-issued identification where needed to confirm identity or ownership, prevent fraud or comply with the law. We record only what we need for that purpose.

3. How we use your information

We use personal information to:

  • register you to bid, verify your payment card and run our auctions;
  • respond to your enquiries and give a preliminary opinion on whether your property may be suitable for auction;
  • issue invoices, process payments and arrange shipping through our shipping partner;
  • catalogue, market and sell consigned property, pay consignors and provide settlement statements;
  • communicate with you about your account, bids, purchases and consignments;
  • prevent and investigate fraud, enforce our Terms and Conditions of Business and resolve disputes;
  • keep business records and meet our legal, tax and regulatory obligations; and
  • send you auction announcements and newsletters, but only if you have agreed to receive them. Every such email includes a way to unsubscribe.

We do not sell personal information.

4. Consent

By registering on the website, bidding, buying or consigning with us, you consent to the collection, use and disclosure of your personal information as described in this policy. We ask for your express consent before sending you marketing emails. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may mean we cannot provide a service; for example, we cannot accept bids without a verified payment card.

5. Who we share it with

  • Service providers who help us run our business: our payment processor (Stripe), our auction platforms (HiBid and AuctionFlex), email and file storage, website hosting, our newsletter service (Mailchimp), electronic signature services and our bank. They may use your information only to provide services to us.
  • WhatsApp, operated by Meta, if you choose to message us there. WhatsApp handles your messages under its own terms and privacy policy.
  • Our shipping partner, PakShip, with whom we share your name, contact details, shipping address and the lots you have purchased so they can quote for and ship your purchases.
  • Between buyers and consignors: we do not disclose a buyer’s identity to a consignor, or a consignor’s identity to a buyer, except where required by law or to resolve a claim under our Terms and Conditions of Business. We publish a consignor’s name only with the consignor’s written authorization.
  • Our professional advisers, such as lawyers and accountants, and, where needed, authenticators or grading services.
  • Law enforcement, courts or regulators, where required by law or where we reasonably believe it is necessary to investigate fraud or stolen property or to protect our rights.
  • A purchaser or successor of our business, if GoodBid is sold or reorganized, subject to this policy.

6. Storage and processing outside Canada

Some of our service providers store or process information in the United States or other countries. While there, your information is subject to the laws of those countries and may be accessible to their courts, law enforcement and national security authorities.

7. Payment information

Card payments and card verification are handled by Stripe, which processes card data in accordance with the Payment Card Industry Data Security Standard (PCI DSS). Your card details are stored by Stripe, not by us.

8. Cookies

Our website uses cookies it needs to work, such as keeping you signed in and protecting card verification through our payment processor, Stripe. Our store software, WooCommerce, also sets cookies that record how you arrived at our website (for example, from a search engine, an email or another site) so we can see which channels bring bidders. We do not use advertising cookies or third-party analytics tools. You can block or delete cookies in your browser settings, but some features of the website may then not work.

9. How long we keep it

We keep personal information only as long as we need it for the purposes above. Business, tax and transaction records are kept for at least six years, as required by Canadian tax law. We then delete or destroy the information securely.

10. How we protect it

We protect personal information with safeguards appropriate to its sensitivity, including password-protected accounts and devices, access limited to those who need it, and encryption where available. Consignors’ banking details are entered in our password-protected auction management software, and signed wire transfer forms are kept in an encrypted, access-restricted storage vault. No method of transmission or storage is completely secure. If a breach of security safeguards involving your personal information creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law. Please don’t send identity documents, card numbers or banking details by WhatsApp. If we need banking details to pay you, we collect them on our wire transfer form after a consignment agreement is signed.

11. Access and correction

You may ask to see the personal information we hold about you and ask us to correct it if it is inaccurate. Send your request in writing to the contact below. We will respond within thirty (30) days and may need to confirm your identity first.

12. Age

Our services are intended for adults. You must be at least eighteen (18) years of age to register, bid, buy or consign with us, and we do not knowingly collect personal information from anyone younger.

13. Changes to this policy

We may update this policy from time to time. The updated version will be posted on the website with a new effective date. If we make a significant change, we will also notify registered users by email.

14. Contact us

Questions, requests and complaints about this policy or our handling of personal information may be sent to: Privacy Officer, GoodBid Auctions, inquiries@goodbidauctions.com

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
